PrintOnline Tracker — End‑User Guide

Audience: Operations staff, managers, and end users of the PrintOnline Tracker web/admin interface.

Purpose

  • This guide explains how to sign in, find your work, update Orders/Jobs/Tasks, and use common features safely.
  • It avoids technical/developer topics and focuses on day‑to‑day actions.

1) Getting access

  • URL: Use your company link to the Tracker (usually https://<your-domain>/admin or a provided shortcut).
  • Account: Your username and password are provided by an administrator.
  • First sign‑in: Enter your credentials on the login page. If you cannot log in, contact your admin to reset your password.

2) Basic concepts

  • Order: The top‑level customer request (e.g., a print order). Contains Jobs.
  • Job: A unit of work within an Order (e.g., printing, binding). Contains Tasks.
  • Task: The smallest tracked activity with status (e.g., “Cut”, “Laminate”, “Pack”).
  • Status indicators: Common examples include New, In Progress, Completed. Exact labels may vary by workflow.

3) Navigating the interface

  • Main menu: Use the left/top navigation to open Orders, Jobs, Tasks.
  • Lists/tables: Columns may include ID, Title/Name, Status, Assigned To, Updated.
  • Search and filters: Use the search box and filters (status, date, assignee) to narrow results.
  • Row actions: Each item has action buttons such as View and Edit.

4) Viewing an item

  • Click View to open details. You will see key fields, status, history, and related items.
  • Related records: From an Order you can open its Jobs; from a Job you can open its Tasks.

5) Editing an item

  • Click Edit to change fields you are allowed to update (for example: status, notes, assignee, due date).
  • Save: Use the Save/Update button at the bottom of the form.
  • Permissions: If a field is read‑only or you cannot save, your role may not have permission. Contact your administrator.

6) Common workflows

Update Task status

  1. Go to Tasks.
  2. Use filters to find your Task(s) (e.g., Assigned To = me, Status = In Progress).
  3. Open the Task and change Status (e.g., to Completed) and add a note if needed.
  4. Save.

Review an Order and its Jobs

  1. Open Orders and find the Order.
  2. On the Order view, open the Jobs tab/list.
  3. Click a Job to see its Tasks and progress.

Add a note or internal comment

  1. Open the relevant Order/Job/Task.
  2. Find the Notes/Comments area and add your message.
  3. Save. Notes are recorded in the item’s history.

7) Notifications and background processing

  • Some updates may trigger notifications or background processing (e.g., when a Job is completed).
  • If you expect an automated follow‑up (email, status update) but do not see it, refresh the page after a minute or check with your administrator.

8) Mobile/Tablet usage (Expo UI)

  • A lightweight admin UI exists under themes/expo. If your team uses the mobile app/Expo variant:
    • Navigation is similar: lists with View and Edit options.
    • Buttons may be labeled View/Edit; use them to open details quickly.
    • On small screens, use search and filters to find items faster.

9) Tips for finding items quickly

  • Use filters: Status, Assignee, and Date are the most effective filters.
  • Use IDs: If you know an Order/Job/Task ID, enter it directly in search.
  • Sort columns: Click column headers (if enabled) to sort by Updated or Status.

10) Troubleshooting

  • I cannot log in: Check username/password and caps lock. Ask an admin to reset your password.
  • I cannot edit: You may not have permission for that item or field. Contact an administrator.
  • I saved changes but don’t see them: Refresh the page (Shift+Reload) or try again. If the issue persists, note the time and item ID and report it.
  • Error messages: Copy the message text and the item ID, and send it to support.

11) Support

  • For access issues, permissions, or corrections, contact your system administrator or helpdesk.
  • Provide: Your name, item type (Order/Job/Task), item ID, and a short description of the problem.

12) Glossary

  • Assignee: Person responsible for the item.
  • Due date: Target date for completion.
  • Status: Progress label indicating where the work stands.

Expo theme pages (mobile/tablet UI)

  • Overview: The Expo-based UI provides a mobile-friendly interface organised into tabs. You can access it via the mobile app or a development build. It mirrors core functionality: listing Orders, Jobs, and Tasks, viewing details, and editing permitted fields.

Navigation

  • Tabs: The app uses a tabbed layout ((tabs) in navigation). Common destinations include Tasks, Orders, Job views, and utility screens.
  • Redirects/shortcuts: Some entry points redirect into tabs, such as task-events and my-event-timeline.

Pages

  • Tasks list: Browse your tasks, filter by status or assignee, and tap an item to View or Edit. Action buttons appear as text buttons (View, Edit) on the right side of a row. On narrow screens they may be stacked or appear in a menu.
  • Orders and Jobs: Similar list and detail patterns. From an Order you can open its Jobs; from a Job you can open its Tasks.
  • Task Events: A timeline-style view of recent task status changes and comments. Use it to review recent activity across your tasks.
  • My Event Timeline: A personalised timeline of events relevant to you (e.g., tasks assigned to you or updated by you).

Actions

  • View: Opens the read-only details screen for the selected item.
  • Edit: Opens the edit form. Fields shown depend on your permissions and the item type.
  • Save: Use the Save/Update button to persist changes.

Search and filters

  • Use the search bar to locate items by ID or text.
  • Apply filters (e.g., Status = In Progress, Assigned = Me) to narrow the list.

Tips

  • Pull to refresh or use the refresh control if data looks stale.
  • Connectivity: On poor networks, saving may take longer. Wait for confirmation before navigating away.
  • Dark mode: The UI adapts to system theme (light/dark) for readability.

Troubleshooting (Expo UI)

  • I don’t see my updates: Pull to refresh or navigate back and re-enter the page.
  • Buttons disabled: View/Edit buttons may be disabled if no item is selected or you lack permissions.
  • Cannot access a page: You may be redirected to Login if your session expired.
